Privacy notice

This notice explains what personal information we collect through this website and what we do with it.

Who we are

ComplaintGuard is provided by PracticeOS Ltd. If you have any questions about this notice, or about how we handle your information, email hello@complaintguard.uk.

What this notice covers

It covers this website, including the waiting-list application form. It does not yet cover the handling of patient complaints, because no complaint data is processed until a practice is approved and using the service. Before a practice goes live, we will set out in writing how complaint data is handled and agree data processing terms with the practice.

What we collect through this website

If you join the waiting list, we collect:

  • your full name
  • your NHS work email address
  • your role
  • the GP practice you select, identified by its ODS code

We use this only to assess your application, including checking that you work at the practice, and to contact you about it. We do not use it for marketing.

When you submit the form we send a confirmation email to the address you gave us. A copy of that email is kept at hello@complaintguard.uk so we have a record of it.

Where your information is kept

Waiting-list applications are stored securely in our UK-hosted database. Only the ComplaintGuard team can see them.

Who we share it with

We do not sell personal information or share it for marketing. We use an email delivery provider to send confirmation emails, and our hosting provider stores the database. These providers process information on our instructions only.

How long we keep it

We keep a waiting-list application while it is being assessed and while the practice remains on the waiting list. You can ask us to remove your application at any time by emailing hello@complaintguard.uk.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@complaintguard.uk and we will respond.

You can also complain to the Information Commissioner's Office at ico.org.uk.
